Terms & Conditions: Guiding & Interpreting Services

1. Definitions & Service Scope

These terms apply to all in-person services provided by Shintaro Takagi (National Government Licensed Guide Interpreter), hereafter "the Guide."

  • Half-Day: Up to 4 consecutive hours.

  • Full-Day: Up to 8 consecutive hours (includes a 1-hour break).

  • Administrative Options: Refers to document preparation (NDAs, Contracts, POA) and specialized dress codes.

2. Administrative & Specialized Add-ons

  • Document Preparation: Fees for Custom NDAs, Outsourcing Agreements, and Power of Attorney (POA) support are per-document (up to 3 sheets). These fees are non-refundable once drafting or review has commenced.

  • Short-Notice Fee: Bookings made within 7 days of the service date are subject to a ¥10,000 Expedited Administrative Fee.

  • Formal Dress: The Tuxedo/Full Formal add-on covers the additional logistics and maintenance of ceremonial attire.

3. Airport Meet-and-Greet & Vehicle Logistics

  • Service Fee: Pickup/Drop-off fees cover the Guide’s time and professional "Meet-and-Greet" service.

  • Vehicle Capacity: Premium 6-passenger vehicles (Alphard/Vellfire) accommodate up to 6 passengers with minimal luggage. With 6 passengers, luggage is limited to hand-carry only. For 1-4 passengers, 2-3 large suitcases can typically be accommodated.

  • Third-Party Costs: Tolls, parking, and fuel are the responsibility of the Client and will be billed at cost.

  • Insurance: If the Client provides the vehicle, the Client must ensure the Guide is covered under the vehicle's insurance policy.

4. Overtime & Upgrades

  • 4-Hour Extension: If a Half-Day session exceeds 4 hours, it will be upgraded to the Full-Day Rate.

  • Post-8-Hour Extension: Billed at ¥11,000 per hour (or part thereof).

  • Expenses: Clients are responsible for all third-party costs (meals, transport, entrance fees) for themselves and the Guide during the service, including overtime periods.

5. Cancellation & No-Show Policy

  • 8+ Days Prior: 100% Refund (minus credit card/transaction fees).

  • 2 to 7 Days Prior: 50% Cancellation Fee.

  • Within 48 Hours / No-Show: 100% Cancellation Fee.

  • Late Arrival: If the Client is more than 30 minutes late to the meeting point without notification, the Guide reserves the right to treat the booking as a "No-Show."

6. Confidentiality & Non-Disclosure (NDA)

  • Professional Secrecy: As a National Government Licensed Guide, the Guide maintains strict confidentiality regarding all Client business, personal conversations, and private information encountered during the service.

  • Data Protection: No photos, recordings, or identifying information regarding the Client will be shared or published by the Guide without explicit written consent.

7. Force Majeure

  • Definition: Neither party shall be liable for failure to perform due to causes beyond their reasonable control, including but not limited to: natural disasters (earthquakes, typhoons), government-mandated travel restrictions, or sudden closure of essential transit hubs.

  • Resolution: In a Force Majeure event, the Guide will prioritize rescheduling the service. If rescheduling is impossible, a pro-rated refund (minus administrative costs) will be issued.

8. Conduct, Safety & Compliance

  • Legal Compliance: The Guide operates strictly within the scope of the National Government Licensed Guide Interpreter Act and will not facilitate activities that violate Japanese law.

  • Termination: The Guide reserves the right to terminate service immediately without refund if subjected to illegal activity, harassment, or safety threats.

Section 9: Multi-Day Reservations & Extended Travel

  • Commuting Radius: The "No-Lodging" policy applies to any venue within a 90-minute door-to-door commute from the Guide’s designated bases in Tokyo or Kyoto.

  • Overtime Structure: Any service provided before 09:00 or after 17:00 is billed as overtime. Overtime on the inaugural and final days is billed at ¥11,000/hr. Overtime on consecutive middle days is reduced to ¥5,000/hr.

  • Vehicle Logistics: For multi-day car tours, the client is responsible for all secondary costs at cost, including overnight parking fees, fuel refills, and highway tolls.

  • Third-Party Costs: Regardless of the cancellation timing, any non-refundable third-party costs already incurred by the Guide at the client's request (e.g., regional transit tickets or specialized lodging) will be billed to the Client at 100%.

Section 10: Unified Cancellation Schedule

Standard Single-Day Bookings:

  • 8+ Days Prior: 100% Refund (minus credit card/transaction fees).

  • 2 to 7 Days Prior: 50% Cancellation Fee.

  • Within 48 Hours / No-Show: 100% Cancellation Fee.

Multi-Day & Expedition Bookings (3+ Consecutive Days):

  • 28+ Days Prior: 10% Cancellation Fee.

  • 15 to 27 Days Prior: 30% Cancellation Fee.

  • 8 to 14 Days Prior: 50% Cancellation Fee.

  • 2 to 7 Days Prior: 75% Cancellation Fee.

  • Within 48 Hours / No-Show: 100% Cancellation Fee.

Section 11: Short-Notice Administrative Fees

  • Expedited Processing: Bookings requested within 8 days of the service start date are subject to a ¥10,000 Expedited Administrative Fee.
